Challenge Event Terms & Conditions

By booking a DENS charity place at a third-party event, you agree to the following terms and conditions:

1. You understand that you will be contacted via email, phone, SMS and post regarding the event you booked to ensure DENS can manage the necessary administration and communication for your participation.
2. You understand that it is your responsibility to check age restrictions upon registering for your place on the third-party website.
3. You acknowledge that the registration fee you paid is non-refundable and cannot be applied toward your sponsorship target.
4. You understand this is a fundraising event and agree to meet the minimum sponsorship target outlined for the event, excluding Gift Aid. The specific pledge amount will be provided when you register on the website and in your welcome email and letter.
5. You are required to raise a minimum of 60% of your sponsorship target no later than six weeks before the event, unless an alternative arrangement is made with the DENS Fundraising Team. Failure to meet this requirement may result in DENS withdrawing your place in the event without a refund.
6. When fundraising, you will act responsibly and adhere to the guidelines set by the Fundraising Regulator. You must clearly state that your fundraising is ‘in support of DENS’ and avoid any actions that could harm DENS’ reputation or contradict its values.
7. If you organise independent fundraising activities (e.g., bake sales, pub quizzes), you acknowledge that these events are your responsibility and must be clearly stated as being conducted ‘in support of DENS’ and not by DENS. You may request an ‘in support of DENS’ logo if needed.
8. You agree to obtain a licence from the appropriate local authority before collecting funds in public spaces. You acknowledge that securing this licence is your responsibility, not DENS’.
9. You commit to submitting all sponsorship funds raised to DENS no later than six weeks after the event unless otherwise arranged with your DENS Fundraising contact.
10. You will ensure any cheques related to sponsorship are made payable to DENS and sent to the DENS Fundraising Team (The Elms, Redbourn Road, Hemel Hempstead, HP2 7AZ) along with your name and the event name.
11. You are responsible for registering your contact details and coordinating with the event’s third-party organiser, if required. Failure to do so may result in your inability to participate. You will be informed in advance if such action is necessary.
12. If you withdraw before the event, you must notify DENS promptly and before the registration deadline, allowing your place to be reassigned. Funds already raised will remain as donations to DENS. If donors request a refund, they must make a written request directly to DENS.
13. You consent to DENS sharing your contact information with the event organiser or third-party organiser to facilitate your participation. Your information will not be shared with any other parties without your consent.
14. If you register for an event managed through an event supplier like Run for Charity, you understand that your contact details will be securely shared with them for event registration purposes and deleted after use.
15. You understand that any costs incurred through travel, refreshments or accommodation are your responsibility. Both the charity and event organisers are unable to contribute to this cost.
16. You acknowledge the event may be physically challenging and involves risks such as discomfort, illness, injury or even death. You are responsible for ensuring you are physically fit to participate without undue risk to your health or life.
17. You understand that it is your responsibility to wear the correct attire and ensure your equipment is up to participation standard.
18. You understand that it is your responsibility to monitor your health during the event and you will stop immediately if your continued participation could create a risk of danger to yourself or others.
19. If you have a medical condition or are uncertain about your ability to take part, you must consult a doctor before participating.
20. You understand that DENS does not provide insurance for fundraising activities, and you are responsible for securing any necessary insurance.
21. You accept full responsibility for your participation in the event and agree that DENS is not liable for any loss or damage arising from the event.
22. You agree that any photos or videos taken during your participation may be used for promotional or marketing purposes for current or future DENS events.
