DENS Hemel Hempstead 10k and 5k Participants Terms & Conditions 

By signing up for a DENS Hemel Hempstead 10k or 5k place, you understand and agree to the following terms and conditions:

  1. You will be contacted via email, phone, SMS and/or post regarding the event and your booking to ensure DENS can manage the necessary administration and communication for your participation.
  2. It is your responsibility to check age restrictions with event organisers (RunThrough) upon booking your place.
  3. Entry places are available during the following registration periods:
    • Super Early Bird: 1st September to December 2026
    • Early Bird: January to March 2027
    • Standard Entry: April to registration close May 2027
  1. This is a fundraising event and all participants are encouraged to raise funds to support DENS. The suggested sponsorship target is a minimum of £100 per participant.
  2. Participants who register during the Super Early Bird or Early Bird periods commit to raising a minimum of £50 (50% of the sponsorship target) by 1st April 2027. DENS reserves the right to withdraw and reallocate places where this fundraising milestone has not been met.
  3. If your place is withdrawn due to failure to meet the fundraising milestone, any sponsorship already raised and registration fee paid will remain as a donation to DENS and will not be refunded.
  4. 100% of all donations raised online and offline, and all monies, will be given to DENS no later than 6 weeks post-event and will not be split with other charities.
  5. You acknowledge that any money raised cannot be restricted to a specific project or area of DENS. All donations are allocated as unrestricted income and spent responsibly to fund our core services and areas of greatest need.
  6. You will act responsibly and adhere to the guidelines set by the Fundraising Regulator and must clearly state that your fundraising is “in support of DENS” and avoid any actions that could harm DENS’ reputation or contradict its values.
  7. If you organise independent fundraising activities (e.g. bake sales, pub quizzes), you acknowledge that these events are your responsibility and must be clearly stated as being conducted “in support of DENS” and not by DENS. An “In Support of DENS” logo can be provided on request.
  8. If required, you will obtain a licence from the appropriate local authority before collecting any funds in public spaces and acknowledge that securing this licence is your responsibility, not DENS’.
  9. You will ensure any cheques related to sponsorship are made payable to DENS and sent to the DENS Fundraising Team (The Elms, Redbourn Road, Hemel Hempstead, HP2 7AZ) along with your name and the event name.
  10. You will be responsible for completing the official event registration system ahead of the specified deadline. Failure to do so may result in your inability to participate.
  11. You agree to inform DENS at the earliest possible opportunity if you need to withdraw from or cancel attending the event due to injury or other circumstances, allowing your place to be reassigned. Funds already raised will remain as donations to DENS.
  12. You consent to DENS sharing your contact information with the event organiser or third-party organiser to facilitate your participation. Your information will not be shared with any other parties without your consent.
  13. Any costs incurred through travel, refreshments or accommodation are your responsibility. You are responsible for organising and paying for travel to/from the event. It is neither the charity nor event organiser’s responsibility to make arrangements or to cover or contribute to any costs.
  14. You acknowledge the event may be physically challenging and involves risks such as discomfort, illness, injury or even death, and that you are responsible for ensuring you are physically fit to participate without undue risk to your health or life.
  15. You understand that it is your responsibility to wear the correct attire and ensure your equipment is up to participation standard.
  16. You understand that it is your responsibility to monitor your health during the event and you must stop immediately if your continued participation could create a risk of danger to others or yourself.
  17. You must consult a doctor before participating if you have a medical condition or are uncertain about your ability to take part.
  18. You understand that DENS does not provide insurance for fundraising activities, and it is your responsibility to secure any necessary or additional insurance.
  19. You accept full responsibility for your participation in the event and agree that DENS is not liable for any injury, losses or damage arising from the event.
  20. You agree that any photos or videos taken during your participation may be used for promotional or marketing purposes for current or future DENS events.
